The trigger decides who enters and when. It is not limited to “joined a campaign”:- A lead joins a campaign
- A lead’s status changes
- A meeting is booked, or one is missed
- An opportunity moves stage
- A lead matches a Smart View
- A date field arrives — a renewal, a contract end
Add steps
- Email — from your connected mailboxes, using a template
- LinkedIn — connection request or message
- Call — a task in the assigned rep’s queue
- SMS and WhatsApp
- Wait — hours or days
- Condition — branch on anything you hold about the lead
- Update — change a status, assign an owner, add a tag
Use the safety rails
These exist because the failure they prevent is messaging real people wrongly, and that cannot be undone. Review before enrolment. A lead who has been through this workflow before is held for your approval rather than enrolled silently. You see who is waiting and decide. This is what stops a filter change re-messaging people you contacted last month. Sending limits. Set a daily budget per mailbox and a sending window. A workflow stops for a lead who replies, books a meeting, or gets an opportunity. Set these before you turn anything on — a sequence that keeps chasing someone who already replied is the fastest way to lose them. Suppression.
